In SharePoint Online and OneDrive for Business site, sharing files with internal and external users is one of the important features to improve the productivity of teamwork. In some cases, we need to restrict shared file permissions such as disable download option and prevent edit file content. From the SharePoint Online site library, users can share the files in the following permission modes.
- Edit mode: Users can view, edit, and download the shared file.
- Review mode: Users can only leave the comments and suggest edits for the author to approve. Users can download the file in this mode.
- View-only mode: Users can only view the file content and cannot make any changes, but they can copy or download the file if the Block download option is not enabled while sharing the file.
- View-only and Block download: Users can only view the file content. They cannot edit, copy or download the file.
We need to share the file with the fourth (View-only and Block download) option to disable the download button and prevent from save or export file in the local machine.
How to disable Download and Export options while sharing files
Follow the below steps to restrict permissions (such as download, export, and save a local copy) while sharing files with other users in SharePoint Online and OneDrive for Business.
- Go to SharePoint or OneDrive document library.
- Select the required file, click the Share button and click on the default share option to view the Link settings.
- In Link Settings, uncheck the Allow editing option and check the Block download option. Finally, click Apply button to create the required sharing link.
- Users with a restricted view get the warning message “You don’t have permission to download or print this file.”
