Create and Work with Meeting Notes in Microsoft Teams

In Microsoft Teams, the Meeting Notes feature is powered by the Wiki page. Meeting organizers and attendees can write notes before, during, and after a meeting. All participants can access the notes from the meeting appointment at any time in the future. In this post, we will explore how to capture meeting notes in different stages and where the meeting note wiki pages are stored.

Before you start, check the below things and limitations of the meeting notes.

  • Only people in the same org as the meeting organizer will be able to start or access meeting notes.
  • Meeting notes are available in meetings with up to 100 people.
  • Only people who are invited to a meeting before notes are created will have access to them initially. Others can get access by requesting to the owner of the notes.

Follow the below steps to take notes before starting the meeting. 

Note: Pre-meeting notes are currently only available for meetings that don’t take place in a Teams channel. 

  • Open Microsoft Teams client (desktop or web client).
  • In the left menu, click Calendar.
  • Select the meeting, and then click Chat with participants
  • Select the Meeting Notes tab, select Take notes, and then start taking meeting notes.

Follow the below steps to take notes during the meeting.

  • On the Meeting controls window, click More options (… – three dots).
  • Select Show meeting notes, if you haven’t taken any notes yet, select Take notes.
  • Start capture and type your notes.  You can add a new section and add notes. Use @mentions to notify someone that they’ve been tagged to do some actions.

Follow the below steps to access notes from a channel meeting.

  • Go to the channel where the meeting occurred and find the meeting.
  • Select Show notes in fullscreen.
  • The notes will be open in a Wiki tab (Meeting Notes tab), you can read, add, edit and format the tab just like you would any other Wiki tab.

Follow the below steps to access notes from a private chat (1:1 or group chat) meeting.

  • Select the meeting event in Teams Calendar, and then click Chat with participants.
  • Select the Meeting Notes tab to read notes that are taken in the private chat meeting.

Storage location of Meeting Notes

As already said, the Meeting notes feature is powered by the Wiki page in Microsoft Teams.

Private Team Meetings: In private chat meetings, the first person who creates or access notes will be the creator. Notes of every meeting are associated with a different wiki page file (MHT file). The wiki page file will be stored in the Microsoft Teams Data folder in the creator’s OneDrive for Business account.

Teams Channel Meetings: The channel meetings are associated with the team. Notes of every meeting are stored as a wiki page in the channel. Notes of all the meetings in a particular channel are grouped and displayed under the Meeting Notes wiki tab in the channel. The content of the wiki page is stored in a hidden list in the team’s associated SharePoint site.
